Privacy Policy

1. Who we are

TaskRox is a business-to-business project and operations management system for construction, civil and mining teams. TaskRox is used by organisations to manage projects, quality, safety, plant, workforce and site records. Your organisation controls the workspace it operates in TaskRox and the records kept inside it; TaskRox stores and processes that information to provide the service.

2. Information we collect

• Account and profile information — your name, email address, phone number, role and organisation, plus sign-in credentials (passwords are stored hashed, never in plain text) and authentication tokens.
• Operational records — content you or your organisation enter while using TaskRox: tasks, schedules, QA and HSE records, daily reports, RFIs, documents, messages and comments, approvals and signatures, and workforce records such as training, licences, medicals and inductions entered by your organisation.
• Photos and files — photos you capture or upload as site evidence and documents you attach to records.
• Technical and security data — log data such as IP address, timestamps and actions taken, kept for security, audit and support purposes.

3. How we use information

We use the information above solely to provide and secure the TaskRox service: operating your organisation's workspace, enabling collaboration between authorised members, maintaining audit trails, and providing support. We do not sell personal information, we do not use it for advertising, and the TaskRox Android app contains no advertising or third-party analytics SDKs.

4. Sharing and visibility

• Records are visible to other members of your organisation's workspace according to the role-based permissions your organisation configures.
• We use infrastructure providers to host the service; TaskRox production data is hosted on servers located in Australia.
• We may disclose information where required by law.
• We do not share personal information with third parties for their own marketing.

5. TaskRox Android app permissions

The Android app requests only the permissions it needs to work in the field:

• Camera — capturing site photos and scanning asset QR codes. Photos are taken only when you choose to take them.
• Photos and media — attaching existing photos or files to records you create.
• Network access — synchronising your work with taskrox.com. All app traffic goes exclusively to taskrox.com and is encrypted in transit (HTTPS/TLS). Work captured offline is stored on your device and synchronised when a connection returns.

6. Security

All data is encrypted in transit. Workspaces are isolated per organisation, access is controlled by role-based permissions, and material actions are recorded in audit trails.

7. Retention

We retain information while your account and your organisation's workspace remain active. Operational records are controlled by your organisation, which may be required to retain certain project, quality and safety records to meet its own legal and contractual obligations. Demo sandbox data created through the "Try Demo" flow is temporary and automatically removed.

8. Your rights and data deletion

You may request access to, correction of, or deletion of some or all of your personal information without closing your TaskRox account. To make a data request, email admin@taskrox.com from the email address on the account, with the subject "Data deletion request", describing the data you want deleted. We action data requests within 30 days.

9. Account deletion

To request deletion of your TaskRox account and associated personal data:

• email admin@taskrox.com from the email address on the account, with the subject "Account deletion request", or
• ask your organisation's workspace administrator to remove your account.

We action deletion requests within 30 days. Where your organisation is required to retain specific project, quality or safety records that reference you, those records remain under your organisation's control and retention obligations; your account and profile are deleted or de-identified. We handle personal information in accordance with applicable privacy laws, including the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

10. Children

TaskRox is a workplace tool for business use. It is not directed at, and is not intended to be used by, anyone under 18.
