What an RFI log is
A request for information (RFI) is a formal question from the builder or a subcontractor to the designer or client, raised when the drawings or specification are unclear, conflict or leave something out. The answer lets work go ahead as intended.
An RFI log, or RFI register, lists every RFI on the project with its number, subject, who raised it, who must answer, when the answer is needed and where it stands. It shows at a glance which questions are holding up work, and it is the record you go back to when a late answer leads to a delay or a variation.
When to raise and log an RFI
- A drawing and the specification disagree, or two drawings show different dimensions.
- A detail is missing, for example a connection, a fixing or a finish.
- A specified product is no longer available and you need an equal approved.
- Site conditions differ from the design, such as a service in the way.
- You need a decision before work can start, and want the date you asked on record.
How to use the RFI log
- 1. Add the projectEnter the project name, number and client once. They appear on every export.
- 2. Add an RFIEach new RFI gets the next number (RFI-001, RFI-002 …). Type the subject, discipline, who raised it and who must answer.
- 3. Set the datesDate raised fills in as today. Set the date you need the answer; the log counts RFIs past that date as overdue.
- 4. Write the questionPut the question with its drawing and specification references in the Question column.
- 5. Track the answerUpdate the status and ball in court as the RFI moves. When the response arrives, record it with the date answered.
- 6. Print or exportPrint one RFI as a form to send, print the whole log, or export Excel or CSV for the project meeting.

RFI log questions
Is this RFI log template really free?
Yes. There is no account, no trial period and no download. Open the page and start typing. You only need a TaskRox account if you want to run the RFI log with your team inside a project; that starts with a 14-day free trial, no credit card.
What should an RFI include?
A unique number, a clear subject, the question with drawing and specification references, who raised it, who must answer, the date raised and the date the answer is needed. Record whether it may affect cost or time, so a variation is flagged early.
How does the RFI numbering work?
Each new RFI takes the next number after the highest one in the log, so a deleted number is not reused. You can type your own numbering instead, and Renumber puts every RFI in table order.
What does ball in court mean?
It names the party who has to act next: the designer to answer, the builder to accept or ask again. It changes as the RFI moves, and it shows who is holding up a decision.
Can I send a single RFI as a form?
Yes. Open the row menu and choose Print as a form. It prints that RFI with the project details on one page, ready to save as a PDF and send.
Which RFIs count as overdue?
An RFI is overdue when its date required has passed and its status is not Answered or Closed. The summary above the log shows the count, and each overdue row is marked.
How many RFIs can it hold?
Up to 500 RFIs in one RFI log. For a larger register, or one the whole team edits at once, use the TaskRox module it is based on.
Where is my RFI log saved?
In your browser's local storage on the device you are using. It saves automatically as you type and is not sent to TaskRox. Clearing your browser data deletes it, so export a CSV or Excel copy, or copy a share link, if you want a backup.
Can I open it in Excel or save it as a PDF?
Yes. Export an Excel workbook (.xlsx), a CSV file for Excel or Google Sheets, or a PDF through your browser's print dialog. Every export carries a small line naming the free tool. You can also import a CSV back in, for example a RFI log you kept in a spreadsheet.
How do I share the RFI log?
Choose Share and copy the link. Everything is packed inside the link itself, after the # sign. Browsers do not send that part of a link to a server, and the TaskRox page analytics are set to ignore it. Anyone with the link opens their own copy to edit; your copy does not change.
