Calls

Start a real-time voice or video call with a linked TaskRox user directly from the record you're working on — no separate app, dial-in number, or meeting link. Calls run on TaskRox's own self-hosted calling infrastructure.

Starting a call

A Call button appears wherever a record has one or more linked TaskRox users to reach: RFI, Defect, HSE incident, Task (Kanban card), Contact, Project, Site, and Document pages.

If the record has exactly one reachable person (for example, a Contact linked to a single TaskRox user), clicking Call shows their name and goes straight to Video or Voice. If there's more than one reachable person (for example, a Project with several members), a picker lets you tick who to call before choosing Video or Voice.

The call carries the record's context with it — the person you're calling sees which RFI, Defect, HSE incident, or other record the call is about before they answer.

Answering and ringing

An incoming call shows a prompt with the caller's name, the linked record, and Accept, Decline, and — for an incoming video call only — an Audio only fallback to join without your camera. It never blocks the rest of the screen — you can keep working while it rings.

An outgoing call shows Calling… while it rings, then Declined or Cancelled if you or the other person ends it first, or Unavailable — no answer if nobody picks up in time. You can cancel a call you started at any time while it's still ringing.

Accepting on one device cancels the ring on your other signed-in devices. If your browser or device doesn't support real-time calling, TaskRox tells you so and falls back to the record's normal tel: phone link where one exists.

In-call controls

Once connected you get: mute/unmute microphone, camera on/off, switch camera (front/back on supported devices), start/stop screen share, choose input/output devices, and see who's speaking.

Leave disconnects you only. End for all (visible to the person who started the call) ends the call for every participant. If your connection drops, TaskRox shows a reconnecting state before falling back to a clean disconnect.

Call history (My Calls)

My Calls in the sidebar lists every call you've made or received, across every project — search by context or participant, filter by status or context type, sort by start time or duration.

Click a call to open its detail page: the linked record, who was on the call and their individual outcome (joined, left, declined, or no answer), duration, and an append-only event timeline (started, answered, ended, and so on).

Open a call's detail page to add a Note afterward, or Flag it into your My Tasks list as a follow-up — the same flag mechanism used across TaskRox, so a flagged call shows up alongside your other flagged records.

What Calls is not

TaskRox Calls is for immediate, context-linked conversations tied to a real record — not a general meeting platform. It deliberately does not replace or include:

  • A PSTN/SIP telephone system — the regular tel: phone link is still there for numbers with no linked TaskRox user
  • Call recording, media storage, or transcripts — nothing about a call's audio or video is ever stored
  • Scheduled meetings, calendar invites, public guest links, webinars, or breakout rooms

If the person you're calling has no linked TaskRox account, TaskRox never shows a Call button for them — only their ordinary tel: number, exactly as before Calls existed.
