Global Search

Global Search is the fastest way to find anything in TaskRox — records, people, documents, help articles and quick actions — without knowing which module owns them. Open it from the search box in the top header or with Ctrl+K (⌘K on Mac) from any page.

Opening and using the palette

Click the header search box or press Ctrl+K to open the command palette. Type at least two characters and results appear grouped by category, ranked by how likely they are to be what you meant — exact record numbers first, then title matches, then content matches. Use the arrow keys to move through results and Enter to open one; Esc closes the palette. On phones and tablets, tap the magnifier icon in the top bar — the palette opens full-screen.

What it searches

Global Search covers Sites, Projects, Gantt and Kanban tasks, People and project org-chart roles, the Business register and Supplier Enquiries, Documents, RFIs, QA (test requests, NCRs, ITPs), HSE incidents, Messages and Wall posts, Correspondence, Photos, Budget/BOQ items, Training, Daily Reports and diary entries, MOC, Decisions, Rosters, Assets/Fleet/Maintenance, TMPs, Closeout reports, SMS, Spreadsheet workbooks, Report runs, Expense claims, this Help manual, Settings pages, and quick actions such as New RFI. Results only ever include records you are authorised to view — counts and rankings respect your permissions too.

Refining results

Category chips under the search box narrow results to one category — click a chip to focus it, click again (or choose All) to widen. When you are inside a project or site, the palette prioritises matches from that context and shows a 'Prioritising …' chip; click its × to search the whole workspace instead. A Best Match card appears at the top when one result is clearly the strongest candidate.

The AI answer

For question-style or descriptive searches, TaskRox AI can compose a short answer from your top results, streamed in a panel below Best Match with links to the records it cited. The AI answer never delays your results and only ever reads from results you can already see. Use the Sparkles AI chip to turn it off or on — your choice is remembered on this device.

Example searches

Try: 'pipe layer' (people by role), 'tank foundation' (projects, documents and training in one view), 'TR 1' (jump straight to a numbered QA record), 'MOC 1' (management of change), 'fuel' (cross-module: HSE, messages, budget, SMS, expense), 'production tracker' (spreadsheet), 'how do I create an NCR' (help guidance plus the create action), or 'roles' (settings and help). Recent searches reappear when you open the palette with an empty query.
